Direct answer

A payment difference arises when a customer's receipt does not match the open receivable being cleared. SAP FI can support configured tolerance checks, partial payments, residual items, and difference postings, depending on the business rule and system edition. The right treatment depends on why the amount differs, the agreed terms, authorizations and whether a remaining claim against the customer must stay open.

Start by explaining the shortfall

Suppose an invoice is ₹10,000 and the customer remits ₹9,970. The ₹30 is a difference, not automatically an approved discount. The remittance advice, cash discount terms, invoice reference, tax implications and any open dispute must first be reviewed. A payment may also exceed the invoice, creating an overpayment that needs its own controlled handling.

Tolerances are rules, not blanket write-off permission

Companies can configure permitted differences in amount and percentage terms for appropriate customer, supplier or employee tolerance groups, subject to the deployment's features. A qualifying difference may be processed according to configured posting and clearing rules. An amount outside the applicable tolerance needs an explicit disposition rather than automatic quiet clearance. Tolerance settings do not replace maker-checker controls or business approvals.

Partial payment versus residual item

With a partial payment, the original invoice and the separately referenced receipt remain open on the customer account. With a residual item, the original invoice can be cleared and a new open item represents the outstanding balance. Those are different ageing and collection outcomes even when the remaining monetary difference is identical. SAP's exact posting behavior depends on the configured solution.

When a difference becomes a separate posting

Some approved differences can be posted to a designated gain or loss account, including certain charge-off arrangements driven by reason codes. This is not suitable simply because a collector wants to remove an awkward balance. Finance should know which account receives the posting, who authorized the treatment, whether a valid credit memo is needed, and how the decision can be reconstructed during audit.

Reason codes capture the business explanation

A difference can represent a cash discount dispute, missing deduction evidence, bank charges, pricing disagreement or simple customer error. Reason codes help describe why a residual or other payment difference was posted and may influence posting behavior in configured scenarios. Do not confuse a reason code with proof that the stated explanation is valid; supporting documents still matter.

Three-step review at month-end

The AR analyst matches receipt-to-invoice evidence. The process owner chooses an authorized treatment based on tolerance, dispute and collection policy. The controller reconciles open receivables and difference accounts so the month-end report does not conceal unresolved deductions. A recurring pattern of small differences is a root-cause signal, not a reason to increase tolerance limits without analysis.

Questions for SAP consultants

Which customer tolerance group applies? Are both amount and percentage limits relevant? What are the accounting and ageing consequences of a partial versus residual item? What happens to the discount and reason code? Where does a difference post and who can approve it? Test an exact match, underpayment, overpayment, disputed deduction and beyond-tolerance case before sign-off.

What this does not mean

A tolerated difference is not necessarily a legally waived claim, nor are all SAP editions configured identically. Check company policy, contracts, tax rules and the actual deployed payment apps. Keep the customer communication separate from the ledger posting: a reconciled customer account should reflect a justified business outcome.
