Direct answer

Customer master data controls are checks that keep customer identity, account assignment, payment terms and commercial roles accurate before transactions use them. In SAP S/4HANA, customer-relevant business partner data can span general information, company-code accounting settings and sales-area data. A correct invoice can still create a serious finance problem when the payer, reconciliation account or payment terms are wrong.

Start with the business question: who owes the money?

An order may involve a sold-to party, ship-to party, bill-to party and payer. Those roles should be deliberately assigned; assuming they are always the same organization can hide billing or collection risk. A duplicate account can split a customer's open items across records and distort credit or collection review.

The data owner should confirm the legal entity and necessary tax, contact, address and communication attributes using an approved evidence source. This is a governance decision: the SAP user who requests a record should not automatically become the person authorized to approve sensitive changes.

Controls at three levels of the record

General business partner information supports identification and communication. Company-code data affects receivables accounting, including the reconciliation account and payment-related fields. Sales-area data supports order processing, pricing and partner functions. Exact field availability and mandatory rules depend on edition and configuration.

The reconciliation account connects customer subledger postings to the G/L. An incorrect setting may create incorrect balance-sheet classification even if the business document looks plausible. Finance should approve accounting-relevant changes; commercial owners should validate sales-area details.

A practical invoice-and-payment example

Imagine that Acme Retail has payment terms of 30 days but a newly created account accidentally defaults to 90 days. Sales may process the order correctly while Finance later sees an unexpected due-date profile. The issue is not solved by manually changing a collection report; the record, affected documents and approval evidence need review.

If a similarly named second customer record is created, receipts can be posted against a different account from the invoice. A good exception checklist compares legal identifiers, payer assignment, outstanding items and bank-remittance references before merging or correcting records under an approved process.

Four control domains: identity, credit, terms and reconciliation account
Each customer field should have an owner, a validation and a downstream consequence.

What a robust review actually checks

Before activating a record, check duplicate-search evidence, required identity details, business partner roles, correct company code and sales area, reconciliation account, payment terms and relevant authorization. Use dual control for high-impact changes where the organization's governance model calls for it.

During operation, monitor records with missing mandatory attributes, unusual payment-term changes, newly created customers with high exposure, and unresolved duplicate reports. Keep who requested, approved and changed each sensitive value. A control without traceable evidence becomes difficult to audit.

Consultant thinking: test consequences, not just fields

A useful test set covers a new domestic customer, a separate bill-to and payer, a blocked customer, incorrect reconciliation assignment, duplicate creation, changed payment terms and correction of a posted invoice. Verify both the data maintenance result and the downstream sales, invoice and receivables behavior.

Do not conflate customer master quality with SAP Credit Management: exposure checks and credit decisions depend on their own configuration and process. The correct design is one that makes errors visible early and gives a responsible business owner a safe way to resolve them.
