Direct answer

Project settlement in SAP Project System moves eligible costs or revenues from a project sender, usually a WBS element or assigned order, to an approved receiving object. Settlement rules govern receiver selection and distribution. The effect depends on the settlement profile, project type, period, SAP edition and accounting design.

Why project costs need a receiver

A project accumulates material, service and labor expenses on project objects for management control. Finance may then require costs on a cost center, investment asset or another WBS object. Settlement allocates the relevant value while keeping its original project spending traceable.

Rules and receiver checks

The sender holds the eligible costs; a receiver takes the allocation. The approved rule controls distribution, and the solution configuration limits the types of receivers. Investment projects can use settlement to an asset under construction. Verify the account impact and posting period, not merely whether processing runs without an error.

Project controller and Finance lead compare WBS costs and approved settlement receivers.
Controlling and Finance need a reconciled sender-to-receiver trail.

Example: equipment construction

An investment WBS accumulates ₹6 lakh of eligible costs. Finance approves settlement to an asset under construction under the company's investment-accounting rules. The project controller validates source costs and receiver before the period-end run. That transfer does not automatically imply the final fixed asset has been completed or capitalized.

Controls and distinctions

Check receiver validity, settlement percentages, changes to the rule, source postings, error logs and balances after the transfer. Settlement differs from results analysis, which concerns configured valuation, and from customer billing. Read also about actual project costs.
