Breakdown maintenance is the reactive response to an asset failure or loss of function. In SAP EAM / PM, the event is normally captured against the affected technical object, screened for impact and priority, and connected to maintenance work that restores the asset. The exact process can differ by implementation, but the business goal is consistent: recover required function with controlled work and a traceable record of what happened.
Breakdown is an event, not an order type by itself
A breakdown describes the condition of the asset: it has failed or cannot perform as required. SAP documentation supports reactive and corrective maintenance processes that can be used when malfunctions or breakdowns occur. The organization still has to decide how the event is reported, whether immediate intervention is required, and how repair work is planned and released.
What the first report should establish
The first maintenance record should make the situation understandable to someone who is not standing beside the asset. Capture the technical object, what failed, when the malfunction began, whether there is downtime, the operational effect, safety or production consequences, and enough priority information for the planning team to act. From urgent response to controlled repair
SAP’s reactive-maintenance process includes initiation, screening, planning, approval or preparation where applicable, scheduling, execution and post-execution activities. A severe failure may compress the timeline, but urgency does not remove the need to record the work, materials, time, failure information and completion status. If technicians intervene immediately, the process should still leave a reliable history for analysis and follow-up.
What consultants should test
Test an asset that is fully down, one operating at reduced performance, and one requiring immediate intervention. Confirm that the technical object, malfunction dates, breakdown indication, priority, responsible work center, order linkage, confirmations and completion information remain coherent. Also test what happens when information is incomplete, because real breakdown reports often arrive under pressure.
